We are looking for a Commercial Assistant to play a key role in supporting our commercial team with vessel operations, documentation, and cross-department coordination.

Key Responsibilities

  1. Provide quick and timely responses to client inquiries, quotation requests, and urgent commercial matters to ensure effective communication and service delivery.
  2. Be available to support urgent commercial and operational matters on a 24/7 basis, including after working hours, weekends, and public holidays, when required by client or operational needs.
  3. Receive, review, record, and follow up on client inquiries, requests for quotations, tender invitations, and commercial correspondence.
  4. Prepare quotations, commercial proposals, tender documents, service agreements, and supporting documents based on approved information, company standards, and client requirements.
  5. Ensure that quotations and commercial documents are prepared accurately, submitted on time, and properly filed for future reference.
  6. Maintain and update the quotation monitoring list, including quotation status, client feedback, approval status, project commencement, completion information, and follow-up actions.
  7. Coordinate with Operations, Technical, Finance, Procurement, and other related departments to obtain the information required for quotations, proposals, tenders, and project execution.
  8. Follow up with clients regarding quotation status, required supporting documents, commercial clarifications, approval status, and other related matters under the direction of the Commercial Manager.
  9. Assist in monitoring project progress, invoicing status, payment status, contract validity, client documentation, and other commercial follow-up matters.
  10. Prepare, organize, and maintain commercial records, client databases, tender files, contracts, reports, quotation files, and other related documents.
  11. Assist in preparing sales reports, revenue reports, quotation summaries, client visit reports, and other commercial performance reports.
  12. Support the preparation of presentation materials, meeting minutes, and follow-up actions related to commercial meetings and client discussions.
  13. Maintain professional communication and positive working relationships with clients, vendors, business partners, and internal departments.
  14. Ensure that all commercial documents and activities comply with company procedures, document-control requirements, contractual obligations, and applicable regulations.


Job Requirements

  1. Willing and able to work on a 24/7 operational support basis, including after working hours, weekends, and public holidays, when required.
  2. Able to provide quick responses and handle urgent client inquiries, quotation requests, and commercial matters in a timely manner.
  3. Minimum of 2–4 years of experience in commercial administration, sales support, business development, marketing, tender administration, or a related role. Experience in the shipping, marine, offshore, or logistics industry is preferred.
  4. Bachelor’s degree in Business Administration, Marketing, Maritime Studies, Logistics, Management, or another related field.
  5. Good understanding of quotation preparation, tender documentation, commercial administration, and basic contract administration.
  6. Able to prepare documents accurately and maintain records in an organized and systematic manner.
  7. Good communication, coordination, follow-up, negotiation support, and client service skills.
  8. Able to work with multiple departments and manage several assignments simultaneously.
  9. Detail-oriented, responsible, and able to work effectively under tight deadlines and in a fast-paced working environment.
  10. Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.
  11. Good command of written and spoken English.
  12. Able to work independently as well as collaboratively within a team.
  13. Proficiency in Mandarin, both written and spoken, will be an advantage.
  • Other Requirements: Proficient in Microsoft Office applications, especially Excel, and comfortable handling client emails.

Key Responsibilities

  1. Lead, supervise, guide, and mentor the Operations team to ensure that all operational activities are carried out effectively, safely, and in accordance with company standards.
  2. Develop, implement, and monitor operational plans to ensure that projects and daily operations are completed on time, within the agreed scope, and in line with company objectives.
  3. Review project requirements, operational plans, work schedules, manpower allocation, vessel arrangements, equipment readiness, and required documentation prior to project commencement.
  4. Coordinate with Commercial, Technical, Crewing, Finance, Procurement, Logistics, and other related departments to ensure smooth and effective project execution.
  5. Ensure that all operational activities, including shipping, ship agency, logistics, vessel handling, port clearance, crew arrangements, and related services, are carried out in accordance with client requirements and applicable regulations.
  6. Monitor project progress, operational issues, service delivery, and resource utilization to ensure that projects are executed efficiently and within the agreed timeline.
  7. Identify operational risks, provide practical solutions, and take necessary corrective actions to prevent delays, additional costs, operational disruptions, or client complaints.
  8. Coordinate with vessel owners, ship agents, port authorities, vendors, subcontractors, and other relevant stakeholders to support vessel and project operations.
  9. Ensure that all required operational documents, permits, reports, checklists, certificates, and supporting documents are prepared, submitted, and properly maintained.
  10. Monitor, review, and communicate updates on applicable maritime, shipping, port, agency, logistics, and other relevant government regulations.
  11. Ensure that new or revised regulations are properly understood and implemented by the Operations team in daily operational activities.
  12. Provide coaching, training, and performance feedback to Operations personnel to improve operational knowledge, service quality, discipline, and overall team performance.
  13. Monitor the performance of operational personnel, vendors, and subcontractors to ensure compliance with company standards, safety requirements, and project obligations.
  14. Prepare operational reports, project updates, manpower reports, performance reports, and other required reports for management review.
  15. Support the Commercial Department by providing operational input, estimated timelines, service capabilities, operational risks, and other relevant information for quotations, proposals, tenders, and client discussions.
  16. Ensure that all operational activities comply with company policies, safety standards, contractual obligations, and applicable maritime, shipping, port, and logistics regulations.
  17. Represent the company in operational meetings, coordination meetings, and discussions with clients, vendors, port authorities, and other relevant stakeholders when required.

 

Job Requirements

  1. Minimum of 5 years of working experience in operations, shipping, ship agency, logistics, marine services, offshore services, port operations, or a related field.
  2. Bachelor’s degree in Maritime Studies, Marine Engineering, Naval Architecture, Logistics, Shipping Management, Business Administration, or another related field.
  3. Strong understanding of shipping operations, vessel agency services, port clearance, logistics coordination, crew arrangements, and project operational requirements.
  4. Experience in coordinating vessel movements, cargo or equipment mobilization, port activities, manpower allocation, vendor coordination, and related operational documentation.
  5. Good understanding of operational planning, project coordination, service delivery, risk management, and cost awareness.
  6. Up-to-date knowledge of applicable maritime, shipping, port, agency, logistics, and government regulations.
  7. Strong leadership, communication, coordination, mentoring, and problem-solving skills.
  8. Able to coordinate with multiple departments and manage several projects or operational activities simultaneously.
  9. Able to work under pressure, handle urgent operational matters, and make sound decisions in a fast-paced working environment.
  10. Detail-oriented, responsible, and able to work independently as well as lead and develop a team.
  11. Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.
  12. Good command of written and spoken English.
  13. Proficiency in Mandarin, both written and spoken, will be an advantage.
